Meeting Minutes 09 Boosters

August 6, 2008


 

Attendance: Debbie Ramirez, Kelly D, Julie Guthery, Ranee Ruggles, Tracy Ruggles, Susan B

$14, 800 current, we need at least $30,000 for party. Only half way there !!!!!

 

Summary

In this meeting we discussed membership, graduation party, fund raisers and preparation for Hotdogs and Bulldogs. Discussions lead to possible improvements in these areas. How to get membership increase, what type of party would be considered ‘fun’ by our seniors, plans and preparation for and Bulldog’s & Hotdog’s. Also discussed were additional committees and activities to generate money to support the project graduation party.

Hotdogs and Bulldogs:

We will be selling Chicken Fajitas (plan to have them cooked and wrapped) and Chair sells again. We discussed new possible fund raising activities including; koozies, onsite pictures of students using cut-outs (some comical theme painted on plywood with openings for student’s faces), ice cream sales and possible game for ipod give-away. We will need to close on below actions prior to next meeting and identify volunteers.

 

Membership:

Current membership is a very low percentage of senior population. We need to increase membership (and $100 dues). If a majority of the seniors joined and paid dues we would be at our financial goal. Had an idea to phone parents, but determined regulations do not permit calling. Response to emails is low and many of the addresses on our distribution are incorrect. An additional concern is that in past years many of the students signup at the last minute. This makes it difficult to determine our budget and make plans/purchases in advance.  We need your support, please join!!!!

 

Graduation Party:

We discussed many ways to make the party more fun and interesting for the seniors including; possible location changes, different activities and lots of prizes. No conclusion was reached but several ideas and resulting actions were taken. A key will be to solicit ideas and preferences from the senior body, make it an event they want to attend.

 

If anyone has additional ideas please let us know!!!

 

Meeting Actions:

1. Check into using school Library or cafeteria for future meetings – Ranee

5. Make copies of membership forms (250). Need to turn into office to be added to orientation packet. (For new seniors). Also plan to have additional copies and info about our project available for current seniors at senior orientation - Kelly

7. Need to set up committee meeting with seniors to get ideas for greatest party ever. What can we do different from current PGP idea? – TBD

PARENT MEETING MINUTES


  

Date of Meeting:  July 23, 2008

 

Call to Order:  Ranee Ruggles

 

In Attendance:  Patty Koopmann, Mary LaVeau, Debra and Nader Ayoub,  Julie Gutherie,

Cyndy Wren, Brenda Sours, Ranee Ruggles, Patti Aldridge, Lorri Ayers.

 

Meeting Purpose:  Plans for 2009 graduation gala, and coordination of volunteer efforts for remainder of senior events.

COMMITTEES:

Membership

·                    There was discussion on how to boost membership and get parents to pay the $100.00 membership fee.  Suggestions were mail-outs in the newsletters, dividing up the phone list (if there is one) and having volunteers do a phon-a-thon and request that parents join and donate gifts for the Graduation Party.

 

Fundraisers: The Position of VP’s responsibilities would primarily be that of Chief fundraiser.  There was discussion on the need of a VP and what that would entail. There were no immediate volunteers.

 

·                    The Evening of Giving was discussed, it was reported by Cyndy Wren that she had contacted the Simon Mall office. The Evening of Giving is set up so that the Mall closes at 6 pm then opens at 6:30 admission by ticket only. The tickets are $10.00 each and we would receive 70% of each ticket sale.  There would be advance ticket sales and tickets sold at the doors. We would be given one entrance to the mall and would receive the 70% of the ticket sales at that door only.   In addition, we would put together a fashion show, clothes to be donated by the Mall stores, our students would model.  The amount raised last year was $3700.00.  Concerns were that the date is November 23.  The Band / and Band Parents will be in NYC for the Macy’s parade. With the Holiday, it was discussed that it may be difficult to get students/parents out shopping before Thanksgiving. No vote was taken/ No decisions made.

 

·                    Marlin Art Auction:  Patti Aldridge mentioned that she had been involved with a fundraiser that proved to be quite easy, and profitable.  Tickets are pre-sold, the art company comes in and sets up their collection of art work, which is extensive and diverse.  People attend the function, light snacks are provided and then an Auctioneer holds a good old fashion Auction and the pieces are bid on.  The company takes Credit Cards and Checks and handles all of the money they send the organization a check for over 50% of the proceeds.  The concern was if it conflicted with the fine arts department’s fundraiser.

 

Project Graduation:  (suggested to change the name)

·      Date and Site Committee: There needs to be a small committee of three or four that will determine the date and site of the After Graduation Party. (AGP).  This is hindered by the fact that the school district does not give out graduation dates until later in the year.  There were several suggestions given for the site, and dates were discussed, but nothing can be decided until the AISD gives out the graduation dates.  Volunteers are needed for this committee

 

·     Marketing:  250 copies of our membership form need to be made and put into the orientation  packets for new student orientation on August 15.  Volunteer are needed for this task.

 

·    Sponsor Search for AGP:  Needed:  Sponsors for anything and everything for the AGP.  If anyone has any ideas or any connections, please contact Ranee.  Volunteers are needed for this committee.

 

 

Open Discussion:  Lorrie Ayers, Class Sponsor and 2009 parent attended the meeting and explained what the needs are for the remainder of the year with the fundraising and events that are planned:

 

·    Fundraiser by class:  this is for the cost of the Prom ( not the AGP).  The class of 2009 has raised funds for the past 3 years and has already paid for the venue for prom.  They are short about $15,000, which will be made up with the following fundraisers:

o Bulldogs and Hotdogs: Selling Senior T-Shirts

o Silent Auction @ Bulldogs and Hotdogs ( 20-25 baskets needed)

o Drink Sales: At all home football games, the seniors sell water/coke/etc.

 

There is a need of 4-6 parents per hour per game 15-18 parents per game) to move drinks from Bowie to Burger, ice drinks, distribute drinks and to clean up afterwards. A Volunteer is needed to coordinate parents involvement in this effort.  There are 4 home games and Homecoming is handled by the Junior Class. 

 

o Homecoming Event: Homecoming is October 10.  There will be a tailgate party at Burger, which is a big fundraiser for the senior class. 6-8 Parents are needed to oversee the event and make sure that it runs smoothly.  The seniors do all the planning.

o Spring Fundraiser: Dodge ball tournament. Students do all the work, a few parents are needed to oversee the actual event.

o Baccalaureate Services: Held the Sunday before Graduation. Need a small committee to plan event.  

o Senior DVD: If anyone knows of someone who can put together a DVD for the class, please contact Lorrie Ayers.

 

Next Meeting: Wednesday, August 6 at 6:30 pm at the Taco Cabana on Manchaca PLEASE BRING  1-2   parents willing to be on committees!

Executive Board Meeting  May 1, 2007


Debra Ayoub called meeting to order at 11:55 am.

 

Those in attendance were:  Debra Ayoub, Kim Perryman, Sheryl Baker, Debbie Ramirez, Ken Crone, Rachel West, Beth Caputo, Lynn Edgerton.

 

Finances:  current balance is $10,816.

Executive Board Meeting  September 22, 2006


The meeting was called to order by Lynn Edgerton at 11:40 a.m.

 

 In attendance: Lynn Edgerton, Debra Ayoub, Ranee Ruggles, Maria Covington

Meeting Purpose: Project Graduation

Need to contact Judy Skeen, 2007 Booster President, and ask her to meet with us re: Project Graduation. We need help with a timeline. Also need to decide on a site and what we will offer to let students know what we are planning for them.

Request to sell remaining Bulldogs and hotdogs items 11/27/06 - 12/10/06 during carnival, submitted to Leilonie (left in her box 10/13/06)

Calendar: Next meeting suggested for November 2ond, 3rd, or 17th (will see what day works best for Judy) Reserve room with Karen Zimmerman.

 Ranee will ask wrestling Boosters about allowing us to sell spirit items at Capital Classic Tournament on November 18th.

Fundraisers

Check to see if the reflective paint on the curb side addresses is visible at night.

 

Check to see if we can paint Bowie address on campus.

 

Check the Bowie master calendar to see if there are upcoming events/games where backpacks, chairs, rocks can be sold.

 

Sell items at the Fall Carnival October 27.

 

Put information about items we are selling on other Booster club websites.

 

Add note in Newsgroup also.

 

Put info. in the Bowie Bulletin. (Lynn)

 

Price individual chairs at $25.00.

 

Bulldogs/Hotdogs

Next year check the table assignments, too crowded sharing with the class of 2009 student table at the main entrance.

 

Membership

Each member recruits another friend(s) to help and to join booster club.

 

Next meeting is scheduled for Friday October 13th @ 11:30, small conference room at Bowie.

 

No meeting in November.  We will schedule one in December if needed.

Items for sale:

48 folding canvas chairs $30.00 a piece or two for $50

150 nylon drawstring/zipper backpacks selling for $10.00 a piece.

Address curb painting $15 for one $20 for two (revise forms add Bowie mailing address, turnaround estimate, and contact person. (Background black red B black star and silver numbers) Parents should fill out and sign these order forms.

150 Chicken Fajitas $2 each (Ken’s company will donate meat) need two grills (must keep tally of how many sold)

Membership $100

Have an order form to use at BDHD in case items sell out.  (Have some at each table)

Look into selling spirit items left over at football games etc.
